In this episode I’m going to cover, how to look after documents if you share with a team, some things to consider if you’re going to meet with your team, a couple of ideas around the multi-site strategy, how to develop sales funnels, and also a note about SuperFastBusiness membership.
Keeping it simple
Seen a few posts lately about managing your team and what system to use. Really, my advice is to keep it simple. DropBox is good because you can see who changed documents and you can wind back deleted copies. And a simple folder per topic where you can put your Jing videos, and files relating to a particular standard operating procedure would be simple. And then use Google docs for standard operating procedures which you can share with groups, and the right people can see the document and edit it, and you can see who’s editing it right now.
It’s especially good if you’re doing things like podcasts where you share with a co-host and you can both look at the document at the same time and even highlight the next part of the conversation if you happen to be in a different state or a different country as I am with my co-host.
Meeting with your team
If you’re meeting with your team then before you have a meeting, send out a brief asking people to prepare the certain things you’ll need at the meeting. Have the right people at the meeting talking about the right things, and have the meeting for the right period of time. If you need to make it longer, make it longer.
I’m just about to increase my usual Manila visit. Make it a little bit longer because I want to do more workshoping rather than just meeting stuff. That’s where we sit down and do things together and we’re going to take things to the next level. You can get together regularly with the people who are contributing to your business even if they are contractors then do that. You should see tremendous gains.
It’s important after the meeting that you set action items and then have measurements and hold yourself accountable. And even if that is the next meeting date to review everything you did at the meeting date prior.
Multiple domain strategy
So what do you do if you have multiple domains and you want to go after trying to take all the different parts of the market with your multiple domains and little individual sites? This is a common strategy that I think people want to roll out and really expand.
My advice is that until you get that first authority site, don’t worry about the second, third, and fourth domains. In fact, if anything I’d say bring it back to less sites and have more authority and more dominance by putting everything in one place and then categorizing it or setting up channels or themes.
Course of action
I’m actually rolling back a lot of my sites back to SuperFastBusiness because that is now my powerhouse. It gets nearly forty thousand (40,000) page views a month, it gets nearly a thousand (1,000) podcast downloads a day, and I want to house most of my quality content right there so you’ll see me develop this even more, and my goal is to get to a hundred thousand (100,000) page views in a month and I’m sure it won’t be too long until we reach that.
Mapping out a sales funnel
What if you are going to map out a sales funnel? Well my advice is use a whiteboard. Just put up on the whiteboard what you’ve got, map out the various parts, and then build it or take a picture and send it to the person building it.
You can do a lot with a whiteboard and a sales funnel, and when you actually turn it on and you see that sale running through the system, that’s the most exciting part of all.

Exceptional post, thank you. James I hear you talking alot about drop box, what key advantage or differentiator does drop box have VS google docs or are they both compatible and you just prefer dropbox?
Wes it is mostly a case of us using Team Dropbox first so we have more than a TB of data there now. It would be hard to migrate it. I also prefer the dropbox system. (We do use Google apps for our team). Perhaps one day we will integrate. I imagine to do that we would have to streamline a fair bit.
